Now Hiring a Medical Records & Resident Transportation Coordinator

We’re seeking to hire a Medical Records & Resident Transportation Coordinator at Fair Havens Senior Living. This unique position combines time spent managing residents’ medical records with providing safe and supportive transportation to and from medical appointments and scheduled outings. It’s a role that offers a meaningful balance of behind-the-scenes administrative work and direct interaction with the residents and their families.

This position plays an important part in supporting the care team and ensuring residents have access to both quality medical documentation and the transportation allowing them to stay connected to the community.

Position Responsibilities:

Medical Records:

  • Maintain accurate, up-to-date medical records in line with HIPAA, state, and federal regulations.
  • Process information requests from insurance providers, Medicare/Medicaid, VA, and healthcare professionals.
  • Audit electronic health records (EHR) for accuracy and completion.
  • Coordinate ICD-10 coding with hospitals and admissions staff.
  • Organize, file, and retrieve charts and documents as needed.
  • Track physician certifications and documentation for care services.
  • Assist with setting up and maintaining new resident charts and medical profiles.

Transportation:

  • Safely transport residents to and from medical appointments, social events, and scheduled outings.
  • Communicate clearly and kindly with residents to help them feel informed and comfortable.
  • Ensure a clean, well-maintained, and safe vehicle at all times.
  • Provide reliable, timely service while maintaining a strong focus on resident safety and dignity.
  • Follow all local and state driving laws and facility protocols.

What We’re Looking For:

  • High school diploma or equivalent.
  • Understanding of medical terminology and HIPAA regulations.
  • Valid Illinois driver’s license with a clean driving record.
  • Comfortable using computers and electronic health record systems.
  • Friendly, organized, and dependable, with a strong sense of confidentiality.
  • Ability to lift up to 25 lbs and assist residents as needed.
  • Strong communication and interpersonal skills.
  • Must pass a Background check.
